Desk & Park vs Flexwhere: per-space vs per-user TCO
Flexwhere charges from €1.99 per user per month, Desk & Park per bookable space. TCO for 175 people with parking, EU hosting, SSO and setup compared.

The key difference between Desk & Park and Flexwhere is the unit you pay for. Flexwhere charges per user per month: €1.99 on its Standard plan and €3.68 on Business, billed annually and excluding VAT (per flexwhere.com, October 2026), and parking booking is listed only on Business. Desk & Park charges per bookable object, with unlimited users: for 175 employees sharing 75 desks, 20 parking spots and 5 meeting rooms, Desk & Park Pro costs 2,300 USD per year, against about 8,690 USD on Flexwhere Business (or 4,699 USD on Standard, without parking).
Hybrid work in 2026 has settled into a familiar rhythm in many offices: Tuesday to Thursday are crowded, Monday and Friday are quiet, and parking runs out before desks do. The open question is how to pay for the tool that runs the sharing. Flexwhere is a Dutch desk-sharing platform, delivered as a cloud service by Dutchview IT according to its website, with desk, meeting-room, parking and pool-car booking, apps for every platform and ISO 27001 certification. Desk & Park books desks, parking spots and meeting rooms, is hosted in the EU and is priced per space. Both are serious European options; they bill for different things.

Annual cost by headcount. Flexwhere Business at €3.68 per user per month (annual billing, excl. VAT; the only plan with parking), converted to USD; Desk & Park Pro at 2,300 USD per year for up to 125 objects. Checked October 2026.
Pricing and TCO: 175 people, 100 bookable objects
The scenario is a typical mid-sized hybrid office: 175 employees, 75 desks, 20 parking spots (4 of them with EV chargers) and 5 meeting rooms, which makes 100 bookable objects.
Desk & Park. 100 objects fit the Pro plan (up to 125 objects, 10 locations): 230 USD net per month, or 2,300 USD per year with annual billing. Users are unlimited on every plan, so all 175 employees, interns and guests are included, and there is no separate fee for uploading floor plans.
Flexwhere. According to flexwhere.com/pricing (checked 17 October 2026):
- Basic: free for up to 25 users, one floor plan at one location, bookings up to 1 week ahead.
- Standard: €1.99 per user per month; unlimited users, up to 3 premises, implementation and floor-plan design included.
- Business: €3.68 per user per month; adds unlimited premises, parking-spot and pool-car booking, user roles, API access and a year of history.
- Meeting rooms: €15 per room per month, a separate room-focused option.
Paid plans are billed annually, excluding VAT. The plan that covers our scenario, with parking, is Business:
| Calculation | Per year | |
|---|---|---|
| Flexwhere Standard (no parking) | 175 users × €1.99 × 12 | €4,179 ≈ 4,699 USD |
| Flexwhere Business (with parking) | 175 users × €3.68 × 12 | €7,728 ≈ 8,690 USD |
| Desk & Park Pro (100 objects) | flat, annual billing | 2,300 USD |
Conversion uses the NBP mid rates of 16 October 2026 (table 202/A/NBP/2026): 1 EUR = 4.3661 PLN and 1 USD = 3.8827 PLN, so 1 EUR = 1.1245 USD. Both vendors' prices are net.
The difference. Against Flexwhere Business, the like-for-like plan with parking, Desk & Park Pro costs 6,390 USD less per year (73.5 % less). Even against Standard, which does not include parking, the gap is 2,399 USD per year (51.1 %).
One-off fees. Flexwhere lists implementation as included on Standard and Business and publishes no setup fee, so we add none. Occupancy sensors and meeting-room displays are marked "additional costs" without a published price. Desk & Park has no setup fee; its room tablet (feature 07 of the Top 10) pairs with a one-time six-digit code and needs no extra licence.
Growth. If the office grows from 175 to 250 people without adding desks, Flexwhere Business rises to 250 × €3.68 × 12 = €11,040 per year (about 12,414 USD) and Standard to €5,970 (about 6,713 USD). Desk & Park stays at 2,300 USD, because the office still has 100 objects. Beyond 125 objects you move to an Enterprise contract, whatever the headcount.
When per-user pricing wins. Flexwhere Standard costs less than Desk & Park Pro up to roughly 85 users, and Business up to roughly 45. Flexwhere Basic is free for up to 25 users on one floor; Desk & Park Start is free for up to 10 objects with any number of users. A team of 20 with 30 desks fits Flexwhere's free plan better; a company of 60 with 10 desks fits Desk & Park's.
Architecture and security
Security reviews ask where the data lives, how it is separated from other customers' data and how people sign in.
Desk & Park (feature 10 of the Top 10):
- One PostgreSQL database per customer organisation: no tables shared with other customers, backups and erasure per organisation, and an incident in one database does not touch another. Background: why office data needs an isolated database.
- EU hosting: databases in Frankfurt, application in the Netherlands; encrypted nightly backups and an audit log of who did what.
- Sign-in: two-factor sign-in (TOTP), passkeys (WebAuthn) and one-time e-mail codes for every user; single sign-on via OpenID Connect (Microsoft Entra ID, Google Workspace, Okta and other OIDC providers) and SCIM provisioning (Entra ID, Okta) on every plan, including the free one.
- The honest gaps: no SAML (OIDC only), and ISO 27001 and SOC 2 are planned, not certified. GDPR tooling: data export and deletion requests in settings and a published DPA.
Flexwhere, per flexwhere.com/privacy-and-security (October 2026):
- Certifications: Flexwhere states ISO 27001 and ISO 9001 certification and links both certificates. That is a real advantage where procurement requires a certified vendor today.
- Hosting: OVHcloud, a European-owned provider headquartered in France, in EU data centres, with encryption in transit and at rest; data governed under EU law.
- Privacy defaults: Flexwhere says it does not store personal data permanently by default and keeps anonymous statistics; anonymising users and bookings is listed on Business.
- Sign-in: the pricing page ticks single sign-on on every plan. A Flexwhere update from April 2025 describes Microsoft and Google sign-in on all platforms, Apple on mobile, and multi-factor authentication via SMS or authenticator apps. Flexwhere does not publish whether SSO uses SAML or OpenID Connect, or whether SCIM is supported; Standard lists user sync via Microsoft Graph.
- Tenancy: not described in text. If isolation matters to your review, ask both vendors in writing.

Employee experience and team coordination
Apps. Flexwhere publishes apps on the Apple App Store and Google Play, a web application and, from Standard, a desktop application: broader native coverage than Desk & Park today. Desk & Park runs in any browser and installs as a PWA; its Android app adds a native QR scanner, fingerprint or face unlock and push notifications. The iOS app is planned for 2027; until then iPhone users book and check in in the browser.
Check-in. Every Desk & Park desk, parking spot and room has a QR sticker. Scanning a free desk books it and checks you in with one tap, and a desk or parking booking not checked in by the organisation's deadline is released automatically. Flexwhere lists manual check-in on every plan and, from Standard, automatic check-in via Wi-Fi, IP address or docking station through its desktop app, plus sensors at additional cost. Offices with docking stations at every desk save employees a step with Flexwhere's approach.
Who's in the office. Flexwhere lists an in-office overview and colleague finder on every plan and a buddy list from Standard. In Desk & Park the map shows each booked person's photo or initials ringed in their team colour, with a green dot after check-in, next to today's roster grouped by team; the company can switch it off and anyone can hide themselves, enforced on the server (feature 04).
Parking and EV. Desk & Park treats parking as a first-class object on every plan: parking maps per location (a garage and a lot, for example), EV charger spots marked ⚡, and a desk plus parking spot booked together arriving as one calendar invitation. Flexwhere offers parking and pool-car booking on Business, and its product updates mention icons for spots with EV chargers. More in corporate parking management.
Assigned spaces. Desk & Park board members (and managers on Enterprise) can keep a permanent desk or parking spot and hand it back for the day with "I'm away today" (feature 06). Permanent spaces are not released automatically after a missed scan; the owner presses the button.
Languages. Flexwhere's pricing page lists English, Dutch and German. Desk & Park's interface and e-mails come in 10 languages, including Polish, French, Spanish, Italian, Romanian, Bulgarian and Chinese.
Space optimisation and AI
The expensive part of a hybrid office is the floor space and parking held for people who do not come. Ghost bookings make an office look full on paper while seats sit empty.
Desk & Park handles this in two steps. QR check-in with automatic release (feature 02) returns unclaimed desks and parking spots to the pool after the check-in deadline; meeting rooms are released only if the organisation turns that on (off by default, after 5 to 120 minutes without a check-in). See ghost bookings and auto-release. Board Reports (feature 08) measure occupancy against the seats that could actually be booked, with the no-show rate per floor and resource, usage by department and team, EV charging demand and the peak day, for any range from 7 days to a year, with CSV export.
On top sit AI recommendations. An administrator clicks "Generate report"; a large language model receives aggregates only, no employee names, and returns 3–6 recommendations (cost saving, space consolidation, EV optimisation, ghost booking alerts, ESG, capacity planning and more), each with a model-written impact estimate. The board dismisses them or marks them done, and that is audited. This is not predictive forecasting, and Desk & Park does not calculate savings or costs: the impact estimate is a hypothesis to check against your own lease data.
Flexwhere lists historical data (one month on Standard, one year on Business), resource heatmaps, dashboard exports and, on Business, a company-wide in-office report on request. Its sensor integration, at additional cost, targets underused zones and ghost bookings with hardware. Auto-release of no-shows is listed from Standard, timed by the administrator (the plan summary says after 1 hour). If you want occupancy measured by sensors rather than check-ins, Flexwhere has the published integration; Desk & Park measures through bookings and QR scans.

Verdict
Flexwhere is the better fit if procurement requires an ISO 27001-certified vendor now, if you need native iOS and desktop apps today, if you want presence detected automatically through Wi-Fi, docking stations or sensors, or if a team of up to 25 people on one floor can stay on the free Basic plan. Dutch- and German-speaking organisations also get the vendor's help with implementation and floor-plan design.
Desk & Park is the better fit if your headcount exceeds your bookable spaces, if parking and EV charging should be on every plan rather than the top one, if your security review asks about per-customer database isolation and OIDC SSO with SCIM, and if one administrator should have the office live this week. In our 175-person scenario, that is 2,300 USD per year instead of about 8,690 USD.

FAQ
Is Desk & Park cheaper than Flexwhere?
For offices with more people than desks, usually yes. With 175 employees and 100 bookable objects, Desk & Park Pro costs 2,300 USD per year; Flexwhere Business, the plan with parking, costs 175 × €3.68 × 12 = €7,728 (about 8,690 USD). Below roughly 45–85 users, Flexwhere's per-user plans can cost less.
Does Flexwhere include parking booking?
Yes, on its Business plan at €3.68 per user per month (annual billing, excl. VAT), according to flexwhere.com in October 2026; Basic and Standard do not list it. In Desk & Park, parking and EV charger spots are bookable on every plan, including the free Start plan for up to 10 objects.
Is Flexwhere ISO 27001 certified, and is Desk & Park?
Flexwhere states ISO 27001 and ISO 9001 certification and publishes the certificates. Desk & Park is not certified yet; ISO 27001 and SOC 2 are planned. It offers a separate PostgreSQL database per customer, EU hosting in Frankfurt and the Netherlands, and OIDC SSO with SCIM on every plan.
Does Desk & Park have an iPhone app like Flexwhere?
Not yet. Flexwhere offers iOS, Android, web and desktop apps. Desk & Park runs in any phone browser as a PWA, has an Android app, and plans its iOS app for 2027.
How long does switching from Flexwhere take?
The onboarding guide quotes 60–90 minutes for one office: company account, plan image upload, placing spaces, printing QR stickers, inviting users from a CSV and the first booking. Bookings are not migrated, so switch on a Monday after the last Flexwhere bookings expire.
