Desk & Park and SpotBooker both charge per bookable space with unlimited users, so a growing headcount changes neither bill. The difference is the rate and where the published price list stops: SpotBooker publishes €390 a year for 5 spots plus €30 per additional spot and quotes custom pricing above 50 spots (spot-booker.com, October 2026), while Desk & Park publishes flat plans up to 125 objects. For 100 desks, parking spots and rooms that is 2,300 USD a year on Desk & Park Pro, against about 3,643 USD at SpotBooker's list rates; below roughly 30 spaces, SpotBooker's list price is the lower one.

The hybrid office in 2026, and who SpotBooker is

Most facilities teams describe the same week: Tuesday to Thursday the office and the car park fill up, Monday and Friday half the desks stay empty. Per-space pricing pays for the peak capacity you own, not for headcount, which is why both products use it.

SpotBooker is a resource-booking SaaS from MSL Innov, a company based in Paris (per its terms and privacy policy). It presents itself as "the simple solution for managing your shared resources": meeting rooms, parking spots, vehicles, desks and equipment, organised in custom categories, with an interactive floor-plan map, check-in with automatic release, user groups with booking rules, approval workflows, reminders and a public booking page for external visitors. It also targets coworking, schools, healthcare and the public sector, in English, French, Spanish and Portuguese.

Desk & Park goes deeper into the hybrid office: desks, parking spots (including EV charger spots) and meeting rooms on one map, QR check-in, a who's-in-the-office view, Board Reports with AI recommendations, and single sign-on with SCIM on every plan, including the free one.

Chart: annual cost of 100 bookable objects by headcount, Desk & Park Pro vs SpotBooker list rates

Annual cost for 100 bookable objects as headcount grows from 50 to 400. Both lines are flat because neither vendor charges per user. SpotBooker: published annual rates extended to 100 spots (custom pricing applies above 50). Desk & Park: Pro plan, 2,300 USD a year.

Pricing and TCO for 100 bookable objects

The scenario used throughout this series: 175 employees, 75 desks, 20 parking spots (4 with EV chargers) and 5 meeting rooms, which makes 100 bookable objects.

Desk & Park. 100 objects fit the Pro plan (up to 125 objects, 10 locations): 2,300 USD per year with annual billing (two months free) or 230 USD per month, net, with unlimited users. There is no fee for floor plans or maps, no set-up fee and no implementation project.

SpotBooker. Its pricing page (spot-booker.com/pricing, checked 17 October 2026) lists, in euros:

  • Freemium: free, up to 2 spots, unlimited users and reservations.
  • Monthly: €39 per month with 5 spots, plus €3 per month per additional spot.
  • Annual: €390 per year with 5 spots, plus €30 per year per additional spot.
  • More than 50 spots: "Contact us for custom pricing".
  • A 14-day free trial without a credit card. No set-up fee is listed; the page does not say whether prices include VAT.

A "spot" is any resource, from a desk to a vehicle. 100 spots is above the published range, so the real price is a quote; the list rates give a reference point:

CalculationPer year
SpotBooker, 50 spots (largest published configuration, annual)€390 + 45 × €30€1,740 ≈ 1,957 USD
SpotBooker, 100 spots at list rates (annual; actual price on request)€390 + 95 × €30€3,240 ≈ 3,643 USD
SpotBooker, 100 spots at list rates (monthly)(€39 + 95 × €3) × 12€3,888 ≈ 4,372 USD
Desk & Park Pro, up to 125 objects (annual)flat2,300 USD

Conversions use the NBP mid rates of 16 October 2026 (table 202/A/NBP/2026): 1 EUR = 4.3661 PLN and 1 USD = 3.8827 PLN, a cross rate of 1 EUR = 1.1245 USD.

At list rates, Desk & Park Pro costs about 1,343 USD (37 %) less per year than 100 SpotBooker spots on annual billing. SpotBooker's comparison pages also quote its entry plan in dollars with the same figures ($39 per month, or $32.50 per month billed annually); billed at the same numbers in dollars, the list-rate total would be about 3,240 USD and the difference 940 USD (29 %). Either way, the custom price above 50 spots may be lower than the list rates, so ask for it in writing.

Where SpotBooker is cheaper. The price lists cross at about 30 spaces: 30 SpotBooker spots cost €390 + 25 × €30 = €1,140 ≈ 1,282 USD a year, roughly Desk & Park Standard (1,280 USD for up to 75 objects). Below that SpotBooker is cheaper; 20 spots cost €840 ≈ 945 USD a year. Up to 10 objects, Desk & Park Start is free; SpotBooker's free plan covers 2 spots.

Growth. Going from 175 to 250 employees changes neither bill; adding spaces does, and at SpotBooker so does crossing 50 spots.

Architecture and security

Desk & Park publishes:

  • One PostgreSQL database per customer organisation: no tables shared with other customers, backups and erasure per organisation, and an incident in one database does not touch another (why office data needs an isolated database).
  • EU hosting: databases in Frankfurt, application in the Netherlands; encrypted nightly backups; an audit log of who did what.
  • Sign-in: two-factor authentication (TOTP) and passkeys (WebAuthn) for every user, plus one-time e-mail codes.
  • SSO and SCIM on every plan, including the free one: OpenID Connect (Microsoft Entra ID, Google Workspace, Okta and other OIDC providers) and SCIM provisioning and deprovisioning (Entra ID, Okta).
  • The honest gaps: no SAML (OIDC only); ISO 27001 and SOC 2 are planned, not certified. For GDPR: data export and deletion requests in settings, and a published data processing agreement.

SpotBooker states in its privacy policy (updated January 2026) that data is stored on servers within the European Union, with encryption in transit (TLS 1.3) and at rest, regular security audits and access controls. On the pages we checked it does not publish its tenancy model, a certification such as ISO 27001 or SOC 2, or support for SSO, SAML or SCIM; on its own Robin comparison page, "SSO/SAML" and "SCIM provisioning" appear in Robin's column, not SpotBooker's. If your IT policy requires sign-in through your identity provider, ask SpotBooker in writing.

Both keep data in the EU; the published answers differ on tenant isolation, identity-provider sign-in and automatic deprovisioning of leavers.

Top 10 Desk & Park features 07–10: room tablet, Board Reports, integrations, security and EU data

Features 07–10 of the Top 10 Desk & Park features: the room tablet, Board Reports, integrations, security and EU data, plus what every plan includes.

Employee experience and team coordination

Desk & Park runs in any browser and installs as a PWA, with nothing to download from an app store; an Android app adds a native QR scanner, fingerprint or face unlock and push notifications. An iOS app and app-store distribution are planned for 2027. Interface and e-mails come in 10 languages. Four of the Top 10 features shape the day:

  • Desks, parking and rooms in one app (feature 03). Parking has its own maps, with several areas per location such as a garage and a lot. EV charger spots are marked ⚡, and a desk and a parking spot booked together arrive as one calendar invitation. See parking booking and the corporate parking management guide.
  • Who's in the office (feature 04). The map shows each booked person's photo or initials ringed in their team colour, with a green dot once checked in, next to today's roster grouped by team. The company can switch it off and anyone can hide themselves, enforced on the server.
  • Book from your phone (feature 05). Recurring bookings, booking on someone's behalf and guest bookings without user accounts.
  • Assigned spaces you can hand back (feature 06). Board members (and managers on Enterprise) keep a permanent desk or parking spot; "I'm away today" releases it for the day and "Take back" reverses that until someone claims it. There is no automatic release of permanent spaces after a missed scan.

SpotBooker, per its feature pages, offers an interactive map with colour-coded availability across floors and buildings, with floor plans imported or drawn in a visual editor. Users check in with a tap in its mobile app, by scanning a QR code, or automatically when they join the office Wi-Fi; its desk-booking guide also mentions NFC and e-mail check-in. It adds recurring reservations, reminders, user groups with booking rules, manager approvals and a public booking page for visitors without an account, and real-time dashboards of who is checked in. The pages we checked do not name the mobile platforms or mention EV charger spots; parking is one of its resource categories.

In short, SpotBooker is broader in what it books and how bookings are governed; Desk & Park is deeper in the daily hybrid routine of desks, parking and presence.

Space optimisation and AI

Ghost bookings make a half-empty office feel full; both products answer with check-in and automatic release.

QR check-in and automatic release (feature 02). Every Desk & Park desk, parking spot and room has a QR sticker. Scanning a free desk books it and checks you in with one tap. A desk or parking booking not checked in by the organisation's deadline (for example "check in by 10:00") returns to the pool automatically. Meeting rooms are released only if the organisation turns that on (off by default, after 5 to 120 minutes without a check-in); scanning a free room's QR code books the next half hour. More in ghost bookings and automatic release.

Board Reports (feature 08). Occupancy measured against the seats that could actually be booked, the ghost rate per floor and resource, usage by department and team, EV charging demand, the peak day and CSV export, for any range from 7 days to a year.

AI recommendations. An administrator clicks "Generate report"; a large language model receives aggregates only, no employee names, and returns 3–6 recommendations (cost saving, space consolidation, EV optimisation, ghost booking alert, board member impact, ESG, capacity planning) with a model-written impact estimate. The board triages each one (Dismiss or Mark as done, audited). This is not predictive machine learning, and Desk & Park does not calculate savings or costs: the estimate is the model's hypothesis to verify.

SpotBooker lets administrators set check-in windows, grace periods and release rules per resource or category; its Robin comparison mentions release after 10 minutes without check-in. Paid plans include "advanced analytics": usage analytics, no-show tracking, utilisation reports and data export. The pages we checked mention no AI features.

Verdict

SpotBooker is the better fit for a small office with fewer than about 30 bookable spaces, where its list price is lower (20 spots cost €840 a year), and for organisations that book a vehicle pool or shared equipment, need managers to approve bookings or a public booking page for visitors, or work in Portuguese.

Desk & Park is the better fit for an office with roughly 30 to 125 desks, parking spots and rooms that wants a published flat price instead of a quote, an IT policy that requires SSO and SCIM (on every plan), parking and EV chargers in the daily routine, room tablets without an extra licence, board reporting with the ghost rate per floor, or a security review that asks whether each customer's data lives in its own database.

FAQ

Is Desk & Park cheaper than SpotBooker?

It depends on the number of spaces. For 100 desks, parking spots and rooms, Desk & Park Pro costs 2,300 USD a year, while SpotBooker's list rates extended to 100 spots come to €3,240 (about 3,643 USD); SpotBooker quotes custom pricing above 50 spots, so its actual price may differ. Below about 30 spaces SpotBooker is cheaper, for example €840 a year for 20 spots against 1,280 USD for Desk & Park Standard.

Do Desk & Park and SpotBooker charge per user?

No. Both charge per bookable space with unlimited users, so growing from 175 to 250 employees changes neither bill. Desk & Park publishes flat plans for up to 10 (free), 75 and 125 objects; SpotBooker publishes €39 per month for 5 spots plus €3 per additional spot, up to 50 spots.

Does SpotBooker support single sign-on?

SpotBooker's website, checked in October 2026, does not publish SSO, SAML or SCIM support, so ask the vendor in writing. Desk & Park offers SSO via OpenID Connect (Microsoft Entra ID, Google Workspace, Okta) and SCIM provisioning on every plan, including the free one; it does not support SAML.

Which product handles parking and EV chargers better?

Both make parking spots bookable. Desk & Park adds parking maps with several areas per location, EV charger spots marked ⚡, one calendar invitation for a desk and a parking spot booked together, and EV charging demand in its reports. SpotBooker treats parking as a resource category and does not mention EV chargers on its website.
